Website integrations: questions to answer early

Connecting systems is easier when responsibilities and failure behaviour are clear.

Identify the source of truth

Decide which system owns customer, product or order information. Two systems editing the same field without a clear rule can create conflicts. Document the direction of each transfer and how updates are matched to existing records.

Check access and limits

Confirm that the required integration is supported by the provider and available on the business’s plan. Review current documentation, authentication requirements and usage limits. Do not assume that a visible export button means a complete real-time integration is available.

Plan for interruptions

An external service can be slow or unavailable. Decide whether work should retry, wait for staff review or fail with a clear message. Avoid telling a visitor that an action succeeded when the receiving system has not accepted it.

Make support practical

Keep useful logs without exposing credentials or unnecessary personal information. Define who investigates failed transfers and how duplicate records are prevented. Test recovery as part of acceptance, not only the ideal successful request.
